Frequently asked questions

The questions operators ask before they engage Plainbuilt, answered first and grouped: services, timelines, pricing, integrations, working with an India engineering center, security, and demos. Where an answer is still being confirmed, it says so. If yours is not here, bring it to a 30-minute working session and we answer it live.

Services

What does Plainbuilt do?

AI automation and custom software for service and operations businesses (contractors, field services, logistics, healthcare, real estate, manufacturing) running $5M to $50M in revenue. We deploy voice agents, quote automation, dispatcher copilots, and review systems wired into the tools you already run, and we build the web platforms, mobile apps, and integrations they run on.

What types of businesses do you work with?

Service and operations businesses: HVAC, plumbing, electrical, roofing, pest control, cleaning, landscaping, logistics, 3PL, and freight. If you have inbound leads, field operations, and dispatch, we are built for you.

What AI services do you offer?

Seven: AI voice agents (24/7 call handling), quote automation (instant quoting), a dispatcher copilot (route optimization), review reactivation (review management and rebooking), AI chatbots (answers from your own content, then a handoff to book, call, or text), adding AI to your existing app, and AI consulting with fractional AI leadership (AI strategy and implementation oversight). Custom software is the second pillar: web platforms, mobile apps, websites for service businesses, and CRM and CMS integrations.

Can I start with just one service?

Yes. Most clients start with a single module, typically a voice agent, and expand after seeing results. Each service stands on its own, so you can start small and grow as it proves out.

How is Plainbuilt different from other AI companies?

We are implementers, not advisors. We do not sell software licenses or generic chatbots. We build custom AI systems integrated with your specific scheduling software, CRM, and workflows, then measure ROI against a baseline. If it does not move revenue, we have not done our job.

Do your voice agents sound robotic?

No. The voice agents use current conversational AI: natural cadence, pauses in the right places, and a personality. Callers regularly do not realize they are speaking to an AI. We pick a voice profile that matches your brand.

Do you build custom solutions?

Yes. The core modules cover 80% of needs, and we customize everything to your operation: call flows, pricing logic, integration points, escalation rules. No two deployments are identical.

What happens when the voice agent cannot handle a call?

It hands the call to a person. The agent transfers to your team with a summary of the caller's name, the issue, and the qualifying details, so your CSR picks up with context instead of starting from zero. Emergencies and anything outside its scope are warm-transferred the same way.

Does the dispatcher copilot replace our dispatchers?

No. Your dispatchers keep the exceptions and the customer relationships. The copilot does the math: route optimization, constraint checking, and the real-time re-routing that nobody should be doing by hand at 200 routes a day.

What is fractional AI leadership?

A chief AI officer who works with your company part-time, typically 2 days a week, for a 90-day engagement. You get executive-level AI leadership and implementation oversight without the $250K+ salary of a full-time hire, and the highest-priority system ships inside the 90 days.

Timelines

How long does deployment take?

Voice agents: 3 to 4 weeks. Quote automation: 4 weeks. Dispatcher copilot: 6 to 8 weeks. Review reactivation: 3 weeks. AI consulting: a 90-day engagement. These are typical timelines; complicated integrations can add 1 to 2 weeks.

What does the process look like?

Discovery in week 1, build and integration in weeks 2 and 3, testing in shadow mode in weeks 3 and 4, then go-live with monitoring and optimization from live data. You have visibility at every step through weekly calls and shared dashboards.

What do you need from us to get started?

Access to your scheduling software and CRM, your current call scripts or handling procedures, your pricing documentation, and 2 to 3 hours of your operations team's time for discovery. We handle everything else.

Do you provide ongoing support after deployment?

Yes. All deployments include 30 days of post-launch support. After that we offer a monthly optimization retainer for ongoing monitoring, tuning, and expansion, scoped to your operation.

How quickly does review reactivation show results?

Review volume typically doubles within 30 days. Rebooking revenue starts in month 2 as the nurture sequences mature, and most operators see full ROI by month 3.

Pricing

How much does it cost?

It depends on which modules you deploy, the integrations involved, and how much is custom to your operation. Most clients start with a single module and expand once it proves out. You'll get a clear, itemized quote in the working session, with no surprises later.

Is there a monthly fee after the initial build?

The initial engagement covers build and deployment. Ongoing costs are limited to AI usage, passed through at cost, and an optional monthly optimization retainer. No hidden fees; we lay it all out before you commit.

What ROI should I expect?

3 to 5x within the first year is typical. A voice agent that captures even a handful of previously lost jobs each month usually pays for itself within the first quarter. We take baseline metrics before deployment so ROI is measured, not theoretical.

Do you offer payment plans?

Standard terms are 50% at kickoff and 50% at go-live. For larger engagements we can structure milestone-based payment schedules. We accept wire transfer, ACH, and credit card.

Why does custom AI cost more than an off-the-shelf chatbot?

Chatbot companies sell generic software. We build custom AI systems integrated with your specific tools, trained on your business, and measured against revenue outcomes. You are paying for implementation depth and results, not a software license.

What if we are not happy with the results?

We measure ROI against an agreed baseline. If a system is not delivering measurable value within 60 days of go-live, we work at no additional cost until it does. We have never had a client fail to see ROI.

Integrations

What platforms do you integrate with?

ServiceTitan, Jobber, Housecall Pro, FieldEdge, Workiz, Service Fusion, McLeod, Samsara, Project44, FourKites, HubSpot, Salesforce, Twilio, and most platforms with API access. Custom integrations are available for legacy systems.

Can you work with our existing tech stack?

Almost certainly. If your tools have an API, we can integrate. If they do not, we look for workarounds: webhooks, Zapier, RPA. In the rare case where no integration path exists, we tell you upfront, before you invest.

Which TMS systems does the dispatcher copilot work with?

McLeod, Samsara, Project44, FourKites, Motive, Trimble, and most modern TMS platforms with API access. We have also built custom integrations for legacy systems.

What stack is custom software built in?

Next.js for web apps, React Native for mobile apps, Supabase and Postgres for the data, Node for the services behind them, and Twilio for calls and texts. It is the stack we ship everything in, the same one our own AI systems run on.

Working with an India engineering center

Where is Plainbuilt based?

Plainbuilt is headquartered at 2737 N. Cullen Ave, Sector 2, Evansville, IN 47715, with an engineering center in India. We serve the United States first.

Is the work done remotely or on site?

Remote-first, with on-site availability where needed. The company is headquartered in Evansville, Indiana, and the engineering center is in India.

Do I need technical knowledge to work with you?

No. We handle all of the technical implementation. You provide access to your systems and the domain expertise about your business. We handle the build, the integration, the deployment, and the ongoing optimization.

Security

Is my data secure?

Yes. All data is encrypted in transit and at rest. We follow SOC 2 practices, use enterprise-grade cloud infrastructure, and sign NDAs before accessing any system. Call recordings are stored encrypted with configurable retention periods.

Are your systems GDPR compliant?

Yes. For clients under GDPR we ensure full GDPR compliance, including data residency options, the right to erasure, and processing agreements.

What happens if your systems go down?

Our systems run on redundant cloud infrastructure with a 99.9% uptime SLA. If a voice agent is unavailable, calls route to your team on their own as the fallback. You are never worse off than before deployment.

Can we turn a deployment off?

Yes. Every deployment ships with a kill switch: if something breaks, you turn it off. We build and ship into your live operation and test in production with real traffic, production-grade only, nothing that works only in a demo.

Demos

Can I try an agent before a call?

Yes. The scripted simulations are free and need no sign-in: a deterministic conversation replay per industry where you pick what the caller wants and watch the agent work step by step. The agent-builder canvas shows how the agent is put together: intents, tools, and handoffs. Nothing is sent to a model, and the names and numbers are made up.

What is live mode?

A real call to the demo agent on your own LLM API key (OpenAI Realtime by default) after you sign in and verify your phone: up to 2 calls of 5 minutes or less per account per day, with the transcript, the timing, and what the agent would have done in your CRM shown afterward. The SMS demo (text the toll-free number, the agent replies) and the email demo (email the demo mailbox, the agent replies) also need a sign-in. A typed chat with any agent on your own OpenAI or Anthropic key is open now after you sign in. Live mode opens in a later release; the demos page has the waitlist.

How are my API keys handled?

Your key is held in memory for the session only, with a 30-minute time limit: never logged, never stored in a database, and redacted from error reports. No table in our database stores user API keys. The same rule is written on the demos page and in the demo terms.

Can I talk to the sales agent without signing up?

Yes. Call the demo line and an AI answers: that is the sales voice agent, running on Plainbuilt's own production stack. No sign-in is needed.

Which industries have demos?

Contractors, field services, logistics, real estate, healthcare, and manufacturing. Each runs the same engine with an industry prompt pack, and each has a scripted simulation on its industry agent page.
